Audit Logs

This feature is available to users with the Full administrator, Course Manager, User Manager, or Site Manager role depending on the entity being reviewed. See Roles

IngenuitiLMS maintains an automatic, immutable Audit Trail across all major entities in the platform. This helps administrators track changes, ensure regulatory compliance, troubleshoot user issues, and maintain operational transparency.


What is Audited?

Audit logging automatically captures:

  • Who: The user account (or automated system process) that performed the action.
  • What: The specific action taken (Created, Updated, Deactivated, Restored, Deleted).
  • When: Exact date and timestamp of the event.
  • Field Changes: "Before" and "After" values for modified settings and attributes.

Audited Entities:

  • Courses & Learning Paths: Title, description, category, sequence enforcement, completion timeline, and publish/unpublish events.
  • Activities & Versions: Adding activities, uploading new content versions, reordering, and deactivation.
  • User Accounts & Roles: Account creation, profile updates, role additions/removals, and password resets.
  • Groups: Group creation, renaming, and member additions/removals.
  • SSO Providers: Configuration updates, active state toggles, and login visibility changes.
  • Learner Progress Timelines: Course, learning path, and activity completion updates.

Viewing Audit Logs

To view the audit trail for a specific item:

  1. Navigate to the management page for the entity (e.g., Manage Courses, Manage Users, or Site Settings).
  2. Open the details view of the item and select View Audit Log (or click the Audit Log icon).
  3. Browse the paginated list of chronological entries, with the most recent changes at the top.

Security & Privacy Protections

To protect sensitive information, certain fields are automatically redacted before audit records are saved:

  • Passwords: Replaced with fixed redacted placeholders.
  • Two-Factor Secrets & Recovery Codes: Redacted entirely; only a record that 2FA was enabled, disabled, or updated is stored.
  • SSO Client Secrets: Client secrets and sensitive credentials are encrypted and masked in audit logs.

Learner Progress Timelines

Administrators can also view a learner's detailed progress timeline for a course. This chronological view merges course-level and activity-level milestones, showing when activities were started, updated (with score changes), and completed.
